As we prepare to enter another exciting semester, Scheduling and Events Services would like to share a few key updates with you to better support events and meetings on campus.
Effective Tuesday, Jan. 16, event planners will need to submit a space request 15 business days prior to their scheduled event. This requirement does not include the day of submission or official university holiday closings. Having this extended reservation time of 15 days will provide Scheduling and Event Services appropriate time to coordinate with campus partners such as KIT-CATS, Custodial, Grounds, and other key partners. Space requests submitted in fewer than 15 days will be returned and will need to be resubmitted for a later date.
Changes to events must be made no later than three business days prior to the scheduled event to allow appropriate time for processing and execution.
Requests for general pool classrooms not directly tied to an academic course and which require no additional services (table rentals, AV support, etc.) will remain as five business days.
As a reminder, all academic courses and supplemental teachings must be scheduled and confirmed prior to nonacademic courses being scheduled. To that end, requests for general pool classrooms for nonacademic meetings and events not directly tied to a course may not be confirmed for the spring semester until approximately one week from the start of the semester. Please review classroom reservations for academic space requests versus event requests.
