Fall 2018 Scheduling Period will open Monday, April 16 and run through Monday, June 11. Registered student organizations will have the opportunity to submit requests for two special events and one weekly meeting. Requests submitted during scheduling period will receive scheduling priority over other requests for the fall. Please remember all events and meetings must be registered in Hopkins Groups ten business days prior to the event date.
When submitting requests, please remember to select two preferred locations for the events. Please remember to list two additional date options in the "Notes/Comments" section of the online reservation form. Weekly meetings will be scheduled in the following 1 ½ hour time slots: 6:00pm -7:30pm, 7:45pm - 9:15pm and 9:30pm - 11pm. Weekly meetings will be scheduled in the following locations Sherwood Room, Conference Room A, Mattin 160, 161 and 162. If you are a dance group needing a weekly practice space, the office will schedule in the appropriate location based on timeslots mentioned above. All weekly meetings scheduled in the Fall will be carried over through the Spring semester. Weekly meetings scheduled for the Fall in the above spaces will not need to go through the Spring scheduling period unless a new day and time of the week is needed. If an organization needs to change the Spring weekly meeting, they MUST do this during Spring scheduling period. Please note there will be limited availability for weekly meetings to be rescheduled. There is no guarantee organizations will get a specific day and time of the week. Any weekly meeting not scheduled during scheduling period, will need to request a general pool classroom. Any special event or weekly meeting not requested by June 11 during scheduling week must wait until after August 1 to submit a request.
Scheduling period request should be submitted online using the normal scheduling page https://eventscheduling.jhu.edu/Client/Home/Index. The Office of Scheduling and Events Services will not accept fall meetings until April 16, 2018.
