Reminder to schedule student organization space for Spring semester

Registered student organizations may request space for up to two special events for the Spring semester through January 1, 2018. After January 1, 2018, requests for Spring will not be accepted until January 8th, and the organizations that submitted requests during the scheduling period (through January 1, 2018) will receive priority scheduling. Weekly meetings from the Fall semester will be rolled over to the same days, times and locations for the Spring semester for meetings currently being held in Levering, Mattin, and Charles Commons. Organizations do not need to do anything further for these weekly meetings, and will receive an email confirming that the meetings have been rolled over for Spring. Any weekly meetings being held in general pool classroom spaces this semester WILL need to be resubmitted for the spring during scheduling period due to the scheduling of spring classes. If changes need to be made to an organization's Spring weekly meetings, they MUST do this during the scheduling period (through January 1, 2018). Please note there will be limited availability for weekly meetings to be rescheduled. There is no guarantee that an organization will get a specific day and time of the week.

To request special event space, weekly meetings or general pool classrooms, please go to https://studentaffairs.jhu.edu/community-living/scheduling-event-services/schedule-a-space/.

If the person in an organization that is responsible for communicating and working with Scheduling & Events has changed, it is important to make sure that the office is notified of the name, email, and cell phone number of the new contact person for spring semester by emailing HomewoodScheduleEvents@jhu.edu. Correspondence may only be sent to the person who requested the space. Without contact, organizations may miss important notifications and changes, which they will be responsible for, so please make sure the office is provided with accurate contact information.

If an organization wants to cancel a weekly meeting, they must notify the office no less than one day prior to the meeting. Organizations that fail to show up to three (3) scheduled meetings without prior cancellation will lose all scheduling privileges and future reservations for the remainder of the semester. Please contact Scheduling & Events at 410-516-8208 for any additional questions.
